FAQ:  2008 IES IMX Championship Entries

Please refer to the meet invitation for eligibility and entry requirements.  The following FAQ is a supplement to the invitation. 

Which OME (Online Meet Entry) system are we using? 

We are using the Inland Empire Swimming OME system.

  Must swimmers be USA-S registered before being entered in the meet? 

Yes!! All swimmers must be current USA Swimming members prior to entry. 

USA Swimming registrations must be received and processed by Karen Byers, IES Registrar prior to meet entry.  Allow time for mailing and processing of membership files, paperwork and payment.  OME will only list currently registered swimmers; swimmers not listed may not be entered in the meet. 
Who can enter swimmers using OME? 

Each club’s head coach will receive log-on information; each head coach or club designee can enter swimmers currently registered with his or her team.  The meet entries chair will enter unattached IE swimmers after receiving a completed Entry Form.

  How does a coach or club designee find the OME website?

There is a link to all IMX Champ info on the main page of the IES website, www.ieswim.org

Access to the OME system is available at www.ieswim.org/imx08.html

  How do unattached swimmers enter the meet? 

All unattached swimmer entries are to be submitted on the IES Champs Meet Master Entry Form which may be found at www.ieswim.org/imx08.html

  The completed form may be sent by email or US mail, addresses are in the meet invitation.

     a)  Entries for unattached swimmers associated with an IE club are to be submitted by the club’s head coach or designee. 

   b)  Entries for unattached IE swimmers not associated with a club may be submitted by the swimmers or their parents. 

  What is the earliest date to begin using OME? 

The system will open for entries no later than January 1.

  When will OME close? 

OME will not accept entries after midnight January 18.

  Closing out entries – NEW this time!

When you are certain your club’s entries are final, you may close out your account.  If not already closed out, the OME system will close your account at midnight January 18.

  When is payment due?

Payments will not be made via the OME System.

To ensure that entries will be imported from OME into the meet, the meet host must receive payment by January 23.  Send the Fee Tabulation Form (included in the meet invitation) and online Team Entry reports (printed from the OME system after team entries are completed) along with payment to the address listed in the meet invitation.

  Should teams use Team Manager for entries also? 

Using Team Manager is not necessary, but it is optional.  OME will create entry reports and split sheets very similar to Team Manager’s.  Team Manager will create the meet in your team’s database after the meet, when you import results.

  Can additions, deletions, and changes be made to entries? 

Yes, changes to online entries may be made up until your club’s account is closed out or, if not closed, until the deadline.  This includes but is not limited to updating entry times. It is expected that coaches will update entries for athletes that compete after being entered in OME.

  What times are in the OME system? 

For each currently registered IE athlete, the OME system will have SCY and LCM top times since September 1, 2003.  Swimmers may be entered with times from meets previous to these dates; the system may require Proof of Time information for such entries (the date and name of the meet where the entry time was achieved).

  What if a swimmer achieved a faster time than the time listed in the OME database?

If a faster entry time is submitted, the system may ask the coach to enter a proof of time… the date and name of the meet where the entry time was achieved.  Meet management will verify these entry times via SWIMS or the meet host.

  May swimmers be entered with a time slower than the time in the OME system?

Yes, at the coaches discretion.

  How many relay teams/event may a club enter? 

A relay audit report is available to coaches on OME; it will show when a team has entered relays that it cannot fill (i.e., not enough swimmers entered to fill all relays)

  Must relay only swimmers be entered by the entry deadline? 

Yes, entries close January 18 at midnight.  Since deck entries will not be allowed, relay-only swimmers must be entered prior to the deadline.

  Will OME accept swimmer names for relays? 

No, coaches will enter relay names at the meet.
